Administrative Support Specialist

This role is responsible for providing administrative support to our office in Valkenburg, Netherlands. You will work closely with the General Manager on a variety of tasks and also collaborate with our Global Headquarters in Cambridge, United Kingdom.
Your key responsibilities will include:
- Reception tasks such as handling incoming telephone calls and information requests, supporting visitors;
- Financial tasks such as preparing monthly salary payments, processing expenses, and supporting financial administration to the UK office;
- HR tasks such as leave management, sick leave, personnel files, and coordinating training;
- Arrivals and departures of personnel, including office, phone, computer, security, access to databases, and information systems;
- Office management tasks such as ordering office supplies, maintaining stationery, and taking care of contacts and contracts with various suppliers;
- Ensuring compliance with Dutch law, including Arbo and Kamer van Koophandel;
- Personnel planning and processing weekly timesheets and preparing reports;
- Organizing meetings and participating in the organization of events, such as workshops and conferences;
- Agenda management, managing incoming and outgoing correspondence, and documentation;
- Day-to-day support in business travel arrangements, hotel arrangements, and preparing visa applications;
- Tasks related to documentation management, distribution, and registration of mail and documents;
- BHV Emergency Response officer.
To be successful in this role, you will need:
- A university degree in a relevant discipline;
- Several years' experience in a similar, independent role, ideally in an international environment;
- Familiarity with modern electronic office automation and techniques, electronic mailing, customized database, and internet software applications;
- Excellent communication and organizational skills;
- Ability to deal with a high workload and stress resilience;
- A high level of discretion and professionalism, as well as flexibility and a service-oriented approach;
- Fluency in English and Dutch is mandatory;
- Experience with Arbo-related matters or legal experience is an advantage;
- Proficiency in Microsoft programs, including Excel, Word, PowerPoint, and Outlook;
- Proficiency in IFS Programming or willingness to learn the program;
- Willingness to follow additional training if needed.
