The Team
The Management Assistant role supports two executive leaders and their teams:
Global Logistics Excellence and Global Traceability, Packaging & Product Compliance. Both are truly global teams operating in the Americas, APAC & EMEA.
The Position
You'll play a vital role in supporting and contributing to the success of our dynamic team. Dive into the world of fashion and gain valuable experience while making a meaningful impact from day one. Being the proactive support for two SVPs with their day-to-day agenda management, expense management, communication, and event support. Naturally, you are used to a fast-paced environment, solution-driven and flexible.
Responsibilities
Include but not limited to:
Efficiently manage the VP's calendar, prioritizing and scheduling meetings and appointments, considering various time zones globally.
Proactively identify and highlight important tasks and meetings, ensuring the VPs are promptly reminded.
Provide support with basic everyday tasks, assisting the VPs with various administrative needs to ensure smooth operations.
Assist with basic calendar and email/inbox management, primarily focusing on local timezone planning and scheduling.
Attend all team meetings, taking notes and circulating information to the team after review by the VPs, ensuring clear communication and alignment.
Assist with basic travel planning, mainly within domestic or European destinations, and provide on-site support for small events as needed.
Utilize a basic network to execute role responsibilities effectively, communicating clearly using established methods and tools.
Ensure timely completion and submission of expenses at the beginning of each month, and review and approve team expense reports promptly.
Raise purchase orders and ensure invoices are processed as requested by the VPs, monitoring approval timelines closely.
The Ideal Candidate
Experience: Entry-level position, welcoming candidates with basic organizational capabilities and proactivity.
Decision Making: Ability to make basic decisions based on input and guidance from the leader, with an understanding of how to prioritize tasks accordingly.
Communication: Good communicator with discretion when handling confidential information.
Time Management: Ability to manage time efficiently and deliver tasks promptly with attention to detail.
