Are you someone who enjoys detail, has exceptional organizational skills, and has a solid background in supporting a professional services office? If so, we'd love to hear from you. As an office & operations assistant at ICTLC, you will be pivotal in supporting our office and attorneys, from client intake and communication, organizing workweeks for our international collaborators and supporting accounts payable, to overseeing vendor contracts, and ensuring all aspects of our office processes are seamless, ultimately elevating the performance of our team and contributing to our shared success.

It was established by Paolo Balboni and Luca Bolognini, who have successfully assembled a network of trusted, highly-skilled lawyers and cyber security advisors specialized in the fields of Information and Communication Technology, Privacy, Data Protection/Security and Intellectual Property.

ICTLC’s International office in Amsterdam is a family-owned boutique law firm run by an exceptional husband and wife duo. At ICTLC we work with many young and ambitious professionals from many different countries who mainly work remotely. Therefore, we pride ourselves on working extremely well autonomously, but when we all meet up, we also very much enjoy each other’s company and the synergies that come with it.

**Essential Duties and Responsibilities**

Basic Tasks
1) Scheduling appointments with vendors for maintenance & procurement.

2) In charge of keeping supplies stocked.

3) Welcoming clients and other stakeholders and handling incoming mail.

4) Responding to stakeholder enquiries.

5) Assisting Accounts Payable & Receivable.

6) Updating Documents & Policies.

7) Keeping Supplier folders organized and in line with our systems.

8) Promoting the internal use of competency building apps (marketing collateral provided).

Core Tasks
9) Project administration for which knowledge of Planner, or similar, is a plus.

10) Optimization of processes.

11) Prevention Officer Duties, training will be provided.

12) Planning & organization of WorkWeeks, i.e., travel management inc. budget responsibility.

**Qualifications**
- Microsoft 365 software including office.
- 3 to 5 years of relevant experience as Office Manager, Administrative Assistant, Business Support.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Must be able to multitask and prioritize work.
- Ability to maintain confidential information.
- Genuine personality; enjoys being a part of a team, working cross-functionally, and able to work independently.
- Committed to producing quality results and fostering a culture of stakeholder satisfaction.
- Strong technology skills and proven ability to quickly learn new technology and software.
- Minimal language skills English C2, Dutch C1, knowledge of other languages is an advantage.
- Monthly remuneration between €2.500 - €3.750 based on full time employment (40hrs/wk). Pay is commensurate on experience.
- 25 vacation days.
- Four social events per year including one international trip.
- Luminous designer workplaces alongside the largest canal in the center of Amsterdam that can easily be reached by public transport (Amsterdam CS 10 minutes on foot), as well as by car (A10 at 5 minutes).

**Job Type**: Part-time

Pay: €2.500,00 - €3.750,00 per month
