Currently, we are looking for an executive assistant to the Chief Risk and Compliance Officer and the Chief People Officer at Aegon Asset Management
Your role
Provide a high standard of professional executive support to two executive managers of Aegon Asset Management by performing, coordinating and facilitating support activities of a complex and confidential nature to assist the senior managers in their day to day work and execution of tasks.
Key Responsibilities
- Manage calendar of managers, prioritizing and resolving bottlenecks.
- Organize and coordinate (hybrid) meetings/events, including oversight of equipment and facilities, as well as distribution/collation of relevant papers. If required, attend and minute meetings and follow up on actions/decisions.
- Organise and coordinate big/complex meetings/events for the team.
- Arrange travel arrangements, administering tickets, hotel reservations and transport for the manager and if needed for the wider organization.
- Delegate for manager in relation to administrative tasks in various systems (HR, Finance, IT etc.)
- In addition to the duties and responsibilities listed, the job holder may be required to perform other duties assigned by their manager from time to time so long as such duties are within the scope and ability of the job holder.
- Profile
- A minimum of 3 years proven experience as EA, preferably in an international corporate setting
- Strong planning and organizational skills; oversee process efficiency
- Ability to take initiative and independent decisions
- Drive calendars with a deep understanding of the context
- Cultural sensitivity
- Highest level of discretion, able to handle sensitive, complex and highly confidential information correctly
- Positive can-do attitude, highly adaptable and self-motivated
- Strong interpersonal skills, able to deal with all level internal and external stakeholders, team spirit
- Highly proficient in Office 365 (Word, Excel, PowerPoint, Outlook, Teams, SharePoint)
- Fluent in Dutch and English (written and oral)
- Experience with systems such as Ariba, SailPoint, ServiceNow, Workday is a plus
