About the Role

We are seeking an experienced Administrative Support Specialist to join our team at the European Space Agency (ESA) in the Netherlands. As a key member of our Financial Operations Section, you will play a vital role in supporting the agency's financial operations and ensuring the smooth execution of space missions.

Responsibilities
  • Process and certify individual travel claims, ensuring compliance with ESA's financial regulations.
  • Calculate and settle business trip expenses, reconciling discrepancies and ensuring accurate financial reporting.
  • Enter settlement data into the customer's database, maintaining accurate records and ensuring data integrity.
  • Manage and maintain accurate filing systems, ensuring easy access to supporting documentation.
  • Receive and verify invoices from travel agents and car hire companies, entering data into the customer's database.
  • Reconcile corporate credit card transactions, identifying and resolving discrepancies.
  • Rectify ticket errors and statistical projections, ensuring accurate financial reporting.
  • Prepare payment lists and proposals, ensuring timely and accurate financial processing.
  • Upload invoices and credit notes into SAP, maintaining accurate financial records.
  • Rectify SAP-posting errors, ensuring accurate financial reporting.
  • Generate statistics and reports as requested, providing valuable insights to the team.
Requirements
  • Bachelor's degree in a relevant field, such as finance, accounting, or business administration.
  • At least 2 years of relevant work experience in a similar role.
  • Excellent customer service skills, with a focus on processing and workflow.
  • Knowledge of financial accounting and experience in Accounts Payables.
  • Familiarity with modern office automation tools and techniques, including Microsoft Office and customized database applications.
  • Experience with SAP and preferably SAP Concur.
  • Ability to prioritize tasks and handle high workloads, with excellent organizational and communication skills.
