Coupa Systems Administrator

We are seeking a proactive and adaptable Coupa Systems Administrator to join our Procurement & Vendor Management team, a vibrant global unit within our Finance department. This team plays a crucial role in driving Adyen's ambitious growth through informed commercial choices, risk management, and effective vendor oversight, ultimately enabling stakeholders to realize their strategic objectives.

In this role, you will be responsible for designing, implementing, and maintaining the user experience (UX) within the Coupa platform. Your responsibilities will encompass all facets of system configuration, customization, version updates, punch-out APIs, and the Coupa Supplier Portal (CSP). You will collaborate with our Business Infrastructure department to resolve integration challenges. As the Coupa expert, you will develop and deliver training materials for both new and existing users and suppliers, providing ongoing support as needed.

You will engage with insights from the Coupa Community to enhance opportunities with Coupa Advantage Suppliers and leverage new tool functionalities. Monitoring efficiency metrics will be key to ensuring tool adoption, process effectiveness, and spend optimization. The Coupa Administrator will regularly interact with leaders across the organization to troubleshoot issues, eliminate obstacles, drive continuous improvement, and support strategic initiatives.

Key Responsibilities

  • Manage the Coupa Source-to-Pay (S2P) system, including user management, release oversight, and system testing and troubleshooting.
  • Configure and maintain user roles, workflows, approval processes, and reporting, while ensuring the integrity of master data.
  • Implement new features and updates to keep the Coupa platform current.
  • Training & Support: As the Coupa subject matter expert, you will oversee all aspects of employee training and vendor onboarding, creating and delivering training materials such as infographics, videos, and newsletters.
  • Process Improvement & Service Standards: Collaborate with functional leaders to identify opportunities for continuous enhancement in procurement-to-pay, supplier onboarding, contract management, and sourcing processes.
  • Utilize existing dashboards and create new insights to monitor, report, and analyze efficiency and utilization data, making recommendations for improvement.
  • Collaboration: This role is highly visible, requiring close cooperation with key departments such as Accounts Payable, Procurement, Vendor Management, and Regulatory teams to build and maintain trust with various stakeholders.

Qualifications

  • Proficient in English; fluency in an additional language is a plus.
  • Over 5 years of experience as a systems engineer with enterprise business applications.
  • At least 3 years of administrative experience with Coupa.
  • Strong understanding of procurement best practices.
  • Knowledge of system controls and security protocols.
  • Coupa administration certification is preferred.
  • Experience with Workday is advantageous.
