Facilities and Building Coordinator | Leiden, Netherlands | Full Time | €34,000 to  €36,000 per annum.

What will your role look like?

  • Answering incoming and outgoing phone calls, complying with the policy concerning the phone exchange and answering calls
  • Provide efficient and professional telephone answering service and reception cover at all times, passing, and providing basic information (who? where? what? when?)
  • Order taxis if necessary.
  • Record all deliveries on a spreadsheet and deliver to the appropriate person.
  • Distribute incoming faxes, including to Field Based personnel.
  • Replace cartridges, refill paper trays.
  • Order all supplies for Ricoh machines.
  • Raise tickets for problems on the machines and follow up.
  • Performing other administrative and minor secretary's works, including, for instance: preparation of letters, sending and copying faxes
  • Work with franking machine companies and courier companies to ensure that the shipments are dispatched on time.
  • Responsible for receiving and dispatching mail to each department
  • Handling couriers
  • Open requests for building related maintenance issues (heating/air con, plumbing, lighting, doors, etc…) and follow up until complete.
  • Act as a key contact for all supplies orders and ensure stocks are maintained to an adequate level without over ordering and keeping costs to a minimum.
  • Follow the new hire process - Issue of Assets and update records. Ordering new equipment with the approved vendor adhering to the procurement policy.
  • Follow the Exit process - Receive the items from leavers (Mobile, Screen, printer), check if all equipment is in good condition to be re-used and store it.
  • Receive and send invoices to Finance for PO or Non-PO invoices with proper gl coding.
  • financial docs processing like scanning invoices, sending them to appropriate employees, etc.,
  • Ensure that all payments are made on time.
  • Be the key input requisitioner for all standard purchase requisitions that need to be put on the ePro system, make the receipt.
  • Create and delete entry badges for new employees and those who depart. Keep files up to date.
  • Help Facilities Managers with ad-hoc tasks.
  • Supporting other departments when needed
