About the position

In this role you will be the “right-hand person” of the Managing Director of Hapag-Lloyd Benelux, based in Rotterdam. As Personal Assistant you will handle a diverse range of tasks and you ensure that everything runs smoothly. You are able to prioritize and to maintain a very good overview of your work and what has to be done. In this role you must be very proactive and possessing excellent interpersonal and organizational skills.  

Your responsibilities

  • Prepare / create presentations, agendas and other materials for meetings, customer visits, events, (guest) lectures;
  • Follow up on action items of the meetings;
  • Support the MD with his daily administrative, organizational and operational tasks;
  • Coordinate all aspects of meetings (e.g. creating and sending invitations, taking minutes, booking of rooms, arrange the catering);
  • Handle incoming calls and mails, responding to inquiries or directing them to the appropriate person;
  • Communicate professionally and effectively with external (senior level) contacts;
  • Keep an overview of and handle a complex calendar;
  • Organize domestic and international travel and accommodation;
  • Ensure expenses are completed and sent timely to our finance-department;
  • Support with ad-hoc tasks for our Management Team when the need arises;
  • Prepare and distribute communication material for the MD, together with our communication specialist.

Your profile

  • You have strong communication skills across different levels;
  • Knowledge about the shipment industry or the willingness and ability to learn quickly about it;
  • High degree of maturity and professionalism;
  • Proven track record and experience of high performance as PA in a regional or global organization;
  • Possessing excellent knowledge in Microsoft applications including Word, Outlook, Excel and PowerPoint; 
  • Well organized and able to prioritize tasks of high complexity;
  • Able to build relationships across different levels in- and outside the organization;
  • Representative;
  • Cultural aware;
  • Trustworthy and discrete;
  • Flexible;
  • Bachelor’s or Master’s degree preferred;
  • Excellent command of both the Dutch and English language;
  • Eligible to work in the Netherlands.
