Job Summary

We are seeking a highly organized and detail-oriented Senior Groups, Meetings, Events and Sales Executive to join our dynamic Groups, Meetings, Events and Sales team at Park Plaza Victoria Amsterdam.

Key Responsibilities
  • Prepare and distribute weekly and daily reports to ensure seamless operations within the team.
  • Ensure accurate and timely communication with hotel operation teams through weekly sheets, Banquet Event Orders (BEOs), and daily changelogs.
  • Maintain the highest standards of business processes in accordance with Standard Operating Procedures (SOPs).
  • Review group departures and outstanding balances on a daily basis.
  • Load enquiries into Opera, manage booking status, and support with activities as required, while upholding our GM&E best practices.
  • Ensure billing and payment methods are considered and deposit schedules are loaded into Opera Sales & Catering upon receipt of signed contracts.
  • Manage Group Leisure enquiries, exploring upselling opportunities and communicating with relevant departments.
  • Audit blocks and ensure accuracy, adhering to PPHE brand standards.
  • Actualize Leisure Groups Free of Charge Policy credit on a monthly basis and reconcile Opera charges with the support of the GM&E team and Operations.
  • Issue Group bookings final invoice within 5 working days of group departures and follow up on outstanding Accommodation/No Show/Cancellation charges/postings in Opera.
  • Prioritize workload and manage time effectively to meet deadlines and maintain PPHE brand standards.
  • Follow guidance and instructions from leadership, adhering to emergency and evacuation procedures, reporting incidents, and handling personal information confidentially.
  • Communicate effectively with internal and external guests/clients/agents via written correspondence, phone, and face-to-face interactions.
Requirements
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Proficiency in Opera and other relevant systems.
  • Knowledge of Standard Operating Procedures (SOPs) and PPHE brand standards.
  • Ability to maintain confidentiality and handle personal information with discretion.
